Step-by-Step Guide to Adding an Email Account on iOS
1. Open the Settings App
- On your iPhone or iPad, navigate to the Home Screen.
- Tap on Settings.
- Scroll down and select Passwords & Accounts (or Apps > Scroll down and select Mail in newer iOS versions).
2. Add a New Email Account
- Tap Mail Accounts.
- Tap Add Account.
- Select Other to configure your account manually.
- Select Add Mail Account
3. Enter Email Account Details
- Fill in the required fields:
- Name: Enter the name that will appear on outgoing emails.

We will be selecting IMAP, enter the following details:
- Host Name: Enter your hostname which is usually mail.domainname.co.uk

If you select POP, use the POP server details provided by your email provider.
6. Configure Outgoing Mail Server Settings
Just like the incoming mail server, enter the following details for SMTP (outgoing mail):
- Host Name: Typically mail.example.com or the provider’s SMTP server.

Important: Even though iOS marks the outgoing mail server username and password as optional, you must enter them to successfully send emails.
7. Save and Verify Account Settings
- Tap Next. iOS will attempt to verify the settings.
- If prompted with a “Cannot Verify Server Identity” warning, tap Continue.
- Once verification is complete, ensure that the Mail toggle is enabled.
- Tap Save to finalize the setup.
8. Open the Mail App and Check Emails
- Navigate to your home screen and open the Mail app.
- Your emails should now start syncing.
- If you have multiple accounts, tap the Mailboxes button to switch between them.
Fixing Common Email Setup Issues
Cannot Verify Server Identity
- Ensure that you are using the correct incoming and outgoing mail server settings.
- Try using the full server name provided by your hosting provider instead of your domain name.
- Verify that SSL is enabled under advanced mail settings.
Unable to Send Emails
- Go to Settings > Mail > Accounts > Your Email Account > SMTP.
- Ensure that the SMTP server is correctly configured.
- Check that the username and password for the outgoing mail server are entered correctly.
Incorrect Password Error
- Double-check your password by logging into your email provider’s Webmail.
- If you recently updated your email password, ensure it is updated on your iOS device as well.
Configuring iOS to Delete Emails When Using IMAP
If you receive the error “Unable to Move Message” when deleting an email, follow these steps:
- Go to Settings > Mail > Accounts.
- Select the email account you want to modify.
- Under IMAP, tap the account name.
- Scroll down and tap Advanced.
- Under Mailbox Behaviors, tap Deleted Mailbox.
- Under On the Server, select Trash.
- Tap Advanced > Account > Done to save changes.
Now, emails deleted on your iPhone will also be deleted from the server.
